How does the certificate expiry reminder system work?

Reminder Schedule & Notifications

CertNudge checks eligible certificate records three times each day for reminders that are due.

Due reminders are added to a controlled email queue. Failed sends can be retried, but a particular delivery time and successful delivery cannot be guaranteed.

Which organisations are eligible?

Reminder checks apply to eligible organisations with an active subscription, a current trial or an eligible payment grace period.

When do reminder checks run?

04:05

Early-morning check

CertNudge checks eligible records for reminders due at that time.

12:05

Midday check

Another scheduled check is performed for eligible reminder records.

20:05

Evening check

A further scheduled check runs during the evening.

These scheduled times use Europe/London time. They are reminder-processing times, not guaranteed email arrival times.

When is a certificate considered for reminders?

Eligible records are considered using the expiry date stored in CertNudge at these milestones:

60 days 30 days 14 days Final 0–7-day window

The final reminder may be sent when an eligible record is first selected within the last seven days before its recorded expiry date.

What happens after a reminder becomes due?

The message is queued

Due messages are placed in CertNudge's controlled email queue for processing.

Failed sends can be retried

Controlled retries are used before a failed message is marked for operational attention.

Delivery is not guaranteed

Email processing and delivery can be affected by email providers, account settings, filtering, connectivity and other technical issues.

Continue checking your CertNudge dashboard and source records rather than relying only on email notifications.

Can duplicate reminders occur?

CertNudge uses queue and sent-record controls designed to reduce duplicate sends. These controls do not guarantee that a duplicate can never occur.

Keep your records accurate

Reminder eligibility depends on the certificate information recorded in CertNudge. You remain responsible for checking expiry dates and arranging inspections, remedial work and renewals when needed.
